Define the stages your team uses
Create custom statuses with their own labels, slugs, icons, and display colors. You can also personalize WooCommerce’s default order statuses, so the order-management interface uses terms that fit your fulfillment or production workflow.
For example, a store might use a Ready for Pickup status to mark orders awaiting collection, or separate production and packing stages to show what work remains.
Configure how orders change status
Set rules to automate status changes according to conditions or actions in your workflow. These rules can reduce repetitive administrative updates as orders move between defined stages. Payment gateway-specific processes let you configure different order handling for particular payment methods.
Test the configured workflow with an order to check that its status changes match the process your team intends.
Link statuses to notifications and store actions
Send SMS notifications when relevant order events occur, such as reaching a preparation, shipping, or custom stage. Custom statuses can also trigger email notifications for clients and administrators, keeping people informed as an order progresses.
You can set stock levels to update based on custom order statuses. The plugin also lets you allow customer cancellations for selected statuses, so you can choose which stages permit cancellation.
Set up the order workflow
Install and activate the plugin on a WordPress website with WooCommerce. From the WordPress dashboard, create the statuses your process needs and set each status’s label, slug, icon, and color. Then configure automation rules, payment gateway workflows, notifications, stock actions, and the statuses that allow customer cancellations.
